Cohen & Company serves private companies, investment firms, real-estate entities, and PE investors across the US and internationally. Their accounting team was drowning in manual invoice processing, data extraction, and PO creation across multiple ledgers. We replaced the click-work with two UiPath robots and an inbox listener.
Cohen's back-office handled invoice creation, data extraction from inbound vendor mail, and purchase-order generation across many separate entities. Every step was manual: download PDF, key fields into the ERP, generate invoices from templates, file the result, repeat. The work was high-volume, repetitive, error-prone, and a known burnout risk for the team running it.
They needed to scale invoice operations without scaling headcount, but the workflow involved enough business rules and edge cases that off-the-shelf AP tools weren't a fit. They wanted something configurable that could grow with them.
We selected UiPath as the platform — partner-tier licensing, mature SAP/ERP connectors, and security controls that match what an accounting firm actually needs. The build was modular: each piece can be enabled or disabled per entity.
Robot one generates PDF invoices following each business unit's rules and templates. Robot two imports those invoices into the target accounting system with the correct parameters (entity, period, GL coding). A document-AI step extracts structured data from invoices arriving via email and pushes them into the same pipeline. The PO-creation flow re-uses the import logic with a different schema, keeping the codebase small.
Approximately 320 hours of manual work eliminated each month — roughly two full-time equivalents returned to higher-value work. Operators moved from manual processing to reviewing exception reports and handling cases that genuinely require human judgment.
The project shipped on budget, on schedule, and on full scope. The platform now scales with new entities by configuration rather than by hiring.
